Privacy Policy & Terms of Service
This policy applies to the VSNA (Veerashaiva-Lingayat Sangha of North America) VIRC VCTF program and explains how participant information is collected, used, stored, and protected when families use the VCTF Portal.

COPPA Notice
VCTF is a family-managed youth program. Parent or guardian consent is required before any child's personal information, submissions, or media are provided through the portal.
Children's data is collected through parent or guardian accounts only. We do not knowingly allow children under 13 to independently create portal accounts or directly submit personal information without parental involvement.
Information We Collect
To administer the VCTF program, we may collect parent or guardian contact details, family profile information, child participant information such as name, date of birth, grade, competition category selections, entry details, judging status, and uploaded materials including documents, images, audio, or video submissions.
For COPPA compliance, children do not create independent accounts directly. Parent or guardian accounts are used to register children and manage their participation in the program.
How We Use Data
We use submitted information to verify eligibility, organize age groups and categories, communicate with families, coordinate judging, publish competition outcomes, and maintain program records for VIRC and VSNA operations.
Parent consent is required before submitting children's information or media. By using this portal, the registering parent or guardian confirms they are authorized to provide the information and any related permissions needed for participation.
Storage, Security, and Retention
VCTF portal data is stored using Firebase and Google Cloud services on behalf of VSNA and VIRC. We use reasonable administrative and technical safeguards to limit access to authorized volunteers, coordinators, judges, and administrators who need the information to operate the program.
Records may be retained for as long as reasonably necessary to run the current festival cycle, support future planning, maintain historical competition records, satisfy legal obligations, resolve disputes, and enforce program policies. Data that is no longer required will be deleted or anonymized when practical.
Deletion Requests and Contact
Parents or guardians may request access, correction, or deletion of family or child information by contacting the VCTF team. We will review verified requests and respond in accordance with applicable legal, operational, and recordkeeping requirements.

Terms of Service
By accessing or using the VCTF Portal, you agree to provide accurate registration information, maintain the confidentiality of your account, and use the site only for legitimate festival-related purposes.
Families are responsible for ensuring that submitted entries, media, and related materials are appropriate, lawful, and permitted for use in the competition. VSNA and VIRC may remove or reject content that violates festival rules, applicable law, or community standards.
The portal and related services may be updated, suspended, or modified as needed to support program administration, security, or operational improvements. Continued use of the portal after changes are posted constitutes acceptance of the updated policy.
